IPA AGM INCLUDING ELECTION OF EXECUTIVE COMMITTEE

ANNUAL GENERAL BODY MEETING

1.        During the IPA AGM held on 27 April 2022, Constitution of the Indian Polo Association was approved by the House. As per the new Constitution of the IPA, fresh elections will have to take place in the Annual General Body Meeting. The Govt of India, Ministry of Sports vide their letter No. F.No. 40-2/2020/SP-I dated 16 May 2023 has accorded sanction granting voting rights to clubs.

2.        Accordingly an Annual General Body Meeting of the Indian Polo Association will be held at 1030 hrs on Sunday, 25 Jun 2023 at the Charger Equidrome, Army Equestrian Centre, Delhi Cantt.

3.         Agenda points for the meeting will be as under :-

(a)       Review of Minutes of the last AGM held on 27 Apr 2022.

(b)       Passing of Accounts for the year 2021-22.

(c)        Financial Budget for the year 2022-23

(d)       Appointment of Auditors for the year 2022-23.

(e)       Participation of minus players upto 10 goal polo tournaments.

(f)        Review of Handicap limit for Open tournaments.

(g)       Review of number of foreign professional players in a team.

(h)       “ELECTIONS” for all posts of Executive Committee as mentioned below :-

(i)        The President.                     

(ii)       Vice Presidents (3)

(iii)      Honorary Secretary

(iv)       Honorary Treasurer

(v)        ECM- Delhi Indep Zone

(vi)       ECM- Rajasthan Zone

(vii)      ECM- Northern Zone

(viii)     ECM- Southern Zone

(ix)       ECM- Eastern Zone

(x)        ECM- Western Zone

(xi)      ECM - Lady Representative

 (j)         Any other points with the permission of the Chair. 

4.         Member Clubs are requested to please forward the names of two representatives to attend the meeting duly authorized by President/Secretary General/Secretary alongwith their address and contact numbers to Hony Secretary IPA (by mail) latest by 10 Jun 2023 to compile form 1 (Electoral College). 

5.         Returning Officer nominated by the IPA is Mr Shyam Mehta. 

6.         Copy of Form 2 (nomination paper) for the post of various Executive Committee as listed above is enclosed and is to be sent duly filled by one representative whose name is there in the electoral college and one office bearer (President/Secretary) of the respective club as proposer and seconder to the Returning Officer Mr Shyam Mehta, Address- 3-B, Shri Kunj Building, Altamount Road, Mumbai - 400026 email ID - shyamanilmehta@gmail.com and a copy of email to IPA at office@ipa.co.in between 12 to 14 Jun 2023 as per election Bye laws of IPA  clause VI Para 4.

7.         Please contact IPA office for any clarification with respect to filling of nomination forms/delegation of representative of clubs for Electoral College.

8.         All member clubs are requested to pay their outstanding annual affiliation fee, if any for the year 2022-23 latest by 05 Jun 2023, failing which they will not be allowed to form the electoral college.
