IPA AGM INCLUDING ELECTION OF EXECUTIVE COMMITTEE

Subject :- ANNUAL GENERAL BODY MEETING AND ELECTIONS OF
IPA EXECUTIVE COMMITTEE
1. As per the Constitution of the IPA, elections will have to take place in the Annual General Body Meeting.
2. Accordingly, an Annual General Body Meeting of the Indian Polo Association will be held on 26 July 2025 (tentatively) at the Charger Equidrome, Army Equestrian Centre, Delhi Cantt, subject to approval of MYAS for granting waiver to IPA for Article 3.9 and 3.10 of the National Sports Code 2011 for granting voting rights to the clubs and constitution of electoral college and permission to hold election during the AGM. Time for the meeting will be intimated later.
3. All members and Executive Committee members of the IPA are kindly requested to attend.
4. Agenda points for the AGM are appended below. Any additional points proposed to be raised at the meeting may please be forwarded to IPA latest by 10 July 2025, nil will be assumed thereafter.
(a) Review of Minutes of the last AGM held on 23 Mar 2024.
(b) Passing of Accounts for the year 2023-24.
(c) Financial Budget for the year 2024-25 and 2025-26
(d) Appointment of Auditors for the year 2024-25 .
(e) Report by Zonal EC members for the year 2024-25.
(f) Report by Hony Secretary IPA for the year 2023-24 & 2024-25.
(g) “ELECTIONS” for all posts of Executive Committee for the year 2025-26 and 2026-27as mentioned below :-
(i) The President
(ii) Vice Presidents (3)
(iii) Honorary Secretary
(iv) Honorary Treasurer
(v) ECM - Delhi Indep Zone
(vi) ECM - Rajasthan Zone
(vii) ECM - Northern Zone
(viii) ECM - Southern Zone
(ix) ECM - Eastern Zone
(x) ECM - Western Zone
(xi) ECM - Lady Representative
(j) Any other points with the permission of the Chair.
5. Member Clubs are requested to please forward the names of two representatives to attend the meeting duly authorized by President/Secretary General/Secretary alongwith their address and contact numbers to Hony Secretary IPA (by mail) latest by 10 Jul 2025 to compile form 1 (Electoral College).
6. Returning Officer nominated by the IPA is Maj Raghav Raj Singh.
7. Copy of Form 2 (nomination paper) for the post of various Executive Committee as listed above is enclosed and is to be sent duly filled by one representative whose name is there in the electoral college and one office bearer (President/Secretary) of the respective club as proposer and seconder to the Returning Officer Maj Raghav Raj Singh by email at rrspolo@gmail.com and a copy of email to IPA at office@ipa.co.in on or before 15 Jul 2025 or nomination paper shall be delivered personally by the candidate to the Returning Officer at Castle Titardi, Titardi Garh, Tehsil- Girwa, Udaipur – 313001, Rajasthan between 13 to 15 Jul 2025 as per election Bye laws of IPA clause VI Para 4.
8. Please contact IPA office for any clarification with respect to filling of nomination forms/delegation of representative of clubs for Electoral College.
9. All member clubs are requested to pay their outstanding annual affiliation fee, if any for the year 2024-25 latest by 10 Jul 2025, failing which they will not be allowed to form the electoral college.

Subject :- ANNUAL GENERAL BODY MEETING AND ELECTIONS OF IPA
EXECUTIVE COMMITTEE
1. Please refer to our mail dated 26 Jun 2025.
2. It is intimated that the Annual General Body Meeting and the elections of IPA Executive Committee for all posts scheduled for 26 Jul 2025 has been postponed to 02 Aug 2025 (tentatively), subject to approval of MYAS for granting waiver to IPA for Article 3.9 and 3.10 of the National Sports Code 2011 for granting voting rights to the clubs and constitution of electoral college and permission to hold election during the AGM.
3. Please note that nominations for the clubs representatives and contestants for elections of the IPA EC have also been extended by a week ie, 17 Jul and 22 Jul 2025 respectively. Clubs are requested to send their nominations accordingly if not sent earlier.

2. It is intimated that Annual General Body Meeting and elections of IPA Executive Committee members will be held at 1030 hrs on Saturday, 02 Aug 2025 at the Charger Equidrome, Army Equestrian Centre, Delhi Cantt.
3. All members and the Executive Committee members of the IPA are requested to attend.
