Subject:-ANNUAL GENERAL BODY MEETING AND ELECTIONS OF ATHLETE COMMITTEE
Dear Sir,
1. As per the Constitution of the IPA, any elections will have to take place in the Annual General Body Meeting.
2. Accordingly, an Annual General Body Meeting of the Indian Polo Association will be held on 08 Aug 2026 (tentatively) at the Charger Equidrome, Army Equestrian Centre, Delhi Cantt, subject to approval of MYAS. Time for the meeting will be intimated later.
3. The Executive Committee and all members of the IPA are kindly requested to attend.
4. Agenda points for the AGM are appended below. Any additional points proposed to be raised at the meeting may please be forwarded to IPA through respective affiliate Units & Zonal EC Members latest by 30 July 2026, nil will be assumed thereafter.
4.1. Review of Minutes of the last AGM held on 02 Aug 2025.
4.2. Take over of Jaipur Polo Ground by L&DO and way forward.
4.3. Passing of Accounts for the year 2025-26.
4.4. Financial Budget for the year 2026-27.
4.5. Appointment of Auditors for the year 2026-27.
4.6. Report by Zonal EC Members for the year 2025-26.
4.7. Report on IPA Activities for the year 2025-26 by Hony Secretary IPA.
4.8. Review of all pending decisions by the EC due to lack of consensus during 2025-26.
4.9. Progress on transition of IPA Structure and Constitution as per National Sports Governance Act 2025.
4.10. Election of Athletes Committee, election for vacant/new post in IPA EC as per National Sports Governance Act 2025, subject to approval of MYAS.
4.11. Progress on Registration of all IPA affiliate units in accordance with Chapter 7 (Rule 17), Sub Rule 1(b) of the National Sports Governance Act 2025.
4.12. Any other points with the permission of the Chair.
5. The details of election procedure for the Athlete Committee will be forwarded shortly.

2. Due to unavoidable circumstances, the Annual General Body Meeting of the Indian Polo Association scheduled for 08 Aug 2026 has been postponed to 1st Week of Sep 2026.
3. Fresh date for the meeting will be intimated shortly.

2. The Annual General Body Meeting of the Indian Polo Association will now be held on 05 Sep 2026 (tentatively) at 1000 hrs at the Charger Equidrome, Army Equestrian Centre, Delhi Cantt, subject to approval of MYAS.
3. The Executive Committee and all members of the IPA are kindly requested to attend.
4. Agenda points for the AGM are appended below. Any additional points proposed to be raised at the meeting may please be forwarded to IPA through respective affiliate Units & Zonal EC Members latest by 20 Aug 2026, nil will be assumed thereafter.

5. Member Clubs are requested to please forward the names of two representatives to attend the meeting duly authorized by President/Secretary General/Secretary alongwith their address and contact numbers to Hony Secretary IPA (by mail) latest by 21 Aug 2026 to compile form 1 (Electoral College).
6. Returning Officer nominated by the IPA is Lt Col Sameer Chaudhary.
7. Copy of Form 2 (nomination paper) for the post of Athlete Committee and EC Member West Zone are enclosed and are to be sent duly filled by one representative whose name is there in the electoral college and one office bearer (President/Secretary) of the respective club as proposer and seconder to the Returning Officer Lt Col Sameer Chaudhary by email at sameercav61@gmail.com and a copy of email to IPA at office@ipa.co.in on or before 25 Aug 2026 or nomination paper shall be delivered personally by the candidate to the Returning Officer at 66/24, Urban Village, Manikshaw Enclave, Delhi Cantt - 110010 between 23 to 25 Aug 2026 as per election Bye laws of IPA clause VI Para 4.
8. Please contact IPA office for any clarification with respect to filling of nomination forms/delegation of representative of clubs for Electoral College.
9. All member clubs are requested to pay their outstanding annual affiliation fee, if any for the year 2026-27 latest by 20 Aug 2026, failing which they will not be allowed to form the electoral college.

Subject:- ANNUAL GENERAL BODY MEETING AND ELECTIONS
1. Further to our mail dated 20 Jul and 05 Aug 2026.
2. The Ministry of Youth Affairs and Sports conducted a National Sports Federation Conclave under the chairmanship of the Hon’ble Minister of Youth Affairs and Sports on 07 Aug 2026 at Major Dhyan Chand National Stadium, New Delhi. During the NSF conclave, it was clarified by MYAS that elections scheduled to be conducted by various NSF will only be held once the National Sports Election Panel is established and representatives from the Panel are detailed to oversee the conduct of free and fair elections.
3. In view of the above, the elections of Athlete Committee, vacant post/additional post of the Executive Committee will now be held on further intimation from the MYAS. Also since the National Sports Federations are required to ratify their revised constitutions in accordance with the National Sports Governance Act 2025 in their AGM, the matter was deliberated during the Executive Committee meeting held on 08 Aug 2026, it has been decided to review the proposed date for Annual General Meeting and Elections in Oct 2026.
4. Apropos, the AGM and Elections earlier scheduled for 05 Sep 2026 stand postponed till further notice.
